In brief

Bookkeeping at Westgate, in plain terms.

What is bookkeeping?

Bookkeeping is the disciplined recording, categorizing, and reconciliation of every transaction your business makes — bank, credit card, payroll, sales, expenses — so a reconciled monthly close ties out to source and your CPA can work from clean numbers.

What does Westgate bookkeeping include?

Bookkeeping cleanup, catch-up, monthly bookkeeping, reconciliations, remote bookkeeping, and QuickBooks ProAdvisor management of QuickBooks Online and Desktop — for small businesses, nonprofits, and churches across Texas.

Who is it for?

Texas small businesses, growing operators, nonprofits, and churches that need senior bookkeeping judgment rather than rotating staff or software-only automation. Typical clients run $250K–$15M in annual revenue.

How is it different?

The same senior operators stay on your file every month. Every account reconciled to source. Quality controls before reports leave. Plain-English answers when you ask what a number means. We are not a CPA firm — we work alongside yours.

Before & after

What a cleanup actually changes.

BEFORE AFTER
Before: feeds out of order, miscategorized and duplicate entries, balances that don't tie out. After: every account reconciled to source, categorized correctly, and CPA-ready. Illustrative — not client data.

QuickBooks bookkeeping

Your bookkeeping — run inside QuickBooks, the way it should be.

Westgate is a credentialed QuickBooks ProAdvisor practice. We run your bookkeeping inside QuickBooks Online or QuickBooks Desktop — not on top of it, not around it, not in a separate platform we'll quietly migrate you to.

Your file stays clean, your reconciled monthly close ties out, your CPA can pull anything they need, and your data stays in the ecosystem you already own.

How bookkeeping runs at Westgate

A real monthly workflow — documented, repeatable, owner-friendly.

1

Source capture

Bank, credit-card, payroll, merchant, and loan statements pulled or uploaded to the secure portal. Nothing reconciled without source.

2

Categorization

Transactions classified inside QuickBooks against a chart of accounts built for your operating shape — not a generic template.

3

Reconciliation

Every account reconciled back to source. Variances investigated, not papered over. Discrepancies flagged for owner review.

4

Senior review

A senior operator reviews before anything leaves our desk — quality controls on the reconciled close, the P&L, and the balance sheet.

5

Reporting

Owner-readable P&L, balance sheet, and any custom views your operations need — delivered on a fixed monthly cadence.

Bookkeeping FAQ

Direct answers to the bookkeeping questions Texas owners ask.

Bookkeeping is the systematic recording, categorizing, and reconciliation of every financial transaction a business makes — bank, credit card, payroll, sales, and expenses — so a reconciled monthly close ties out to source. Westgate handles bookkeeping cleanup, catch-up, monthly bookkeeping, reconciliations, remote bookkeeping, and QuickBooks ProAdvisor management of QuickBooks Online and Desktop, for small businesses, nonprofits, and churches across Texas. We are not a CPA firm and deliver CPA-ready books to yours.
Catch-up means your books are simply behind — periods that were never recorded — and need to be brought current. Cleanup means the records exist but are wrong — miscategorized, unreconciled, or duplicated — and need to be corrected and rebuilt from source. Many engagements need both, and we scope them together after a free assessment.
Monthly bookkeeping is a flat monthly fee, set in writing after a free books assessment and based on your transaction volume and number of accounts. There is no hourly billing. A one-time cleanup or catch-up, if your books need it first, is quoted separately as a fixed fee.
Most bookkeeping cleanups complete in four to ten weeks, depending on how many months are behind and how many accounts are involved. A single year of one or two accounts is faster; multi-year, multi-account files take longer. The free assessment gives you a firm timeline and fixed-fee scope before any work starts.
Yes — we are a QuickBooks ProAdvisor practice and run your bookkeeping inside QuickBooks Online or QuickBooks Desktop, the software you already own. We don't quietly migrate you onto a proprietary platform. Your file stays clean, your CPA can pull anything they need, and your data stays in the ecosystem you control.
Outsourced bookkeeping fits owners who are past DIY and don't want to hire, train, and manage in-house staff. You get a senior operator who owns your books end-to-end — reconciliations, monthly close, reporting, and CPA coordination — for a fixed monthly fee, with none of the rotation or offshore hand-offs of a typical service.
Yes — that's the intended arrangement: your CPA stays for taxes, we come in for the books. We deliver reconciled, documented, CPA-ready records and coordinate directly at year-end, which usually makes your CPA's work faster and your filing easier to defend. We are the bookkeeping; your CPA is the tax.
Yes. We use an encrypted document portal with multi-factor authentication, accountant-only access, and least-privilege controls. There are no shared admin logins and no documents emailed around in the clear.
